What is PES?

DXC Technology’s Medicaid software, Provider Electronic Solutions (PES), enables health care providers to verify beneficiary eligibility, request prior authorizations, and submit claims electronically. PES 2.25 meets the requirements of the Health Insurance Portability and Accountability Act (HIPAA) for the transmission of electronic transactions.

Please note: if you currently use PES, you MUST upgrade to version 2.25 or you will be unable to submit claims to the new MMIS using PES.

How to Enroll

You must enroll as an Arkansas Medicaid provider and obtain an ID number to submit claims of any kind to Arkansas Medicaid. If you do not have a provider ID, you may apply online. If you have questions, call (800) 457-4454. Select option 0 for “Other inquiries” and then option 3 for “Provider Enrollment” when prompted.

If you want to submit any electronic transactions to Arkansas Medicaid (such as verifying eligibility, requesting prior authorizations, or filing claims), you also must have an Arkansas Medicaid Trading Partner ID.

If you are required to have a National Provider Identifier (NPI), you must report it to Arkansas Medicaid once enrolled as an Arkansas Medicaid provider. For more information about the NPI, view NPI frequently asked questions.

HIPAA Requirements

You can submit electronic transactions to Arkansas Medicaid only in HIPAA-compliant format, version 5010, or for pharmacy, NCPDP compliant format, version D.0. That means you must have

Vendor software that meets the requirements of the Health Insurance Portability and Accountability Act (HIPAA) for the transmission of electronic transactions
OR
Provider Electronic Solutions software, v 2.25
OR
Access to the Arkansas Medicaid website, which includes an on-line claim-submission application
AND
a trading partner ID
AND
a National Provider Identifier (NPI) if required. See NPI information to learn more.

System Requirements

You must have (at a minimum) the following hardware and software to operate Provider Electronic Solutions software:

64 megabytes RAM
100 megabytes free hard-drive space
800 x 600 resolution
MS Internet Explorer 6.0 or greater

A printer is optional.

How to Upgrade to PES 2.25

Step 1: Know Your PES Version

The current version of Provider Electronic Solutions software is 2.25. If you currently use PES, you MUST upgrade to version 2.25 or you will be unable to submit claims to the new MMIS using PES.

To find out what version of PES is set up on your computer,

  1. Open PES.
  2. From the Help menu, select About. A message box opens that displays the software’s version number.

  1. Exit PES.

NOTE: Upgrades cannot be applied while PES is running.

Again, you must install PES 2.25 (the current version) to submit claims to the new MMIS using PES.

Bug fixes and system changes that necessitate a new PES release may cause issues with older versions of PES software. Upgrading as soon as possible after a new release of PES is available is highly recommended to avoid crashes and losing data. Waiting too long to upgrade your software may cause your system to crash when you must upgrade more than one version to get current. Upgrades should be applied sequentially. Skipping versions when upgrading increases the likelihood of system crashes.

Step 2: Use the Upgrade Function

CAUTION: Always use the upgrade function to keep PES software current.

Do not load a new, full version of the software or your claim data and lists will be deleted.

Step 3: Make a Copy of the ARHIPAA Folder

Before you upgrade, create a copy of the ARHIPAA folder and rename it. This serves as a backup in the event files are lost or damaged during the upgrade process.

Step 4: Download the PES 2.25 Upgrade

To download Provider Electronic Solutions software, version 2.25 upgrade, follow the steps below.

  1. Print this page so you can refer to the instructions.
  2. Go to “Files available for download”, “Current PES Version”, and click the link for PES upgrade version 2.25.
  3. The File Download dialog box displays.
  4. Click Save. The Save As dialog box displays.
  5. Click the down-pointing arrow beside the Save In window. Select the C: drive. Double-click the ARHIPAA folder. Double click the Upgrades folder. Then click the Save button.
  6. Minimize the browser and double-click the AR HP PES folder on your desktop and then double-click the Upgrade icon.

    OR click on the Start menu, click on All Programs, click on AR HP Provider Electronic Solutions and then click on Upgrade.

  7. The file self-extracts into the components of the software and the Upgrade dialog box displays. Click Yes to apply the upgrades.

    PES cannot upgrade while the software is running.

  8. The PES upgrade application launches. Click OK to continue.

  10. A dialog box displays when the upgrade is complete. Click Finish.

Step 5: Confirm the Upgrade Completed Successfully

Repeat Step 1 to confirm that the upgrade to PES 2.25 completed successfully.

How to Download PES 2.25 Full Application

To download Provider Electronic Solutions software, version 2.25, follow the steps below. The file is large, so if you have a slow connection to the Internet, the download may take a long time.

  1. Print this page so you can refer to the instructions.
  2. Scroll down to Files available for download, and click the link for PES version 2.25 full application. The caution screen appears to alert you to upgrade if you already use PES to avoid losing your claim data and lists. Click the link for PES version 2.25 full application only if you do not currently use PES.
  3. Click AR_V0225_setup.exe. The File Download dialog box displays.
  4. To continue with the download, click Save. The Save As dialog box displays.
  5. Click the down-pointing arrow beside the Save In window. Click Desktop and then click the Save button.
  6. Click the Close button when the download is complete.

How to Set Up PES on a Single Computer

Windows 2000/XP/Windows 7 Systems

  1. On your Desktop, double-click AR_V0225_setup.exe. The Open File - Security Warning dialog box opens.
  2. Click Run. The Welcome screen opens.
  3. Click Next.
  4. Click Typical. Click Next. The Choose Destination Location screen opens.
  5. Click Next to accept the default destination for the software, C:\ARHIPAA. The Choose Database Destination Location screen opens.
  6. Click Next to accept the default destination for the database, C:\ARHIPAA. A graphic shows the progress of the procedure. You can cancel at any time by clicking the Cancel button.
  7. When setup is complete, click Finish.

Logging on for the First Time

When you open PES for the first time, the logon box opens with User ID filled in: pes-admin.

  1. Type HP-pes in the Password field, and then select OK.
  2. A Password Expired notice opens.
  3. If you choose Cancel, the LogOn ends and PES closes. If you choose OK, a new box opens so you can create a unique password.
  4. In the Old Password field, type HP-pes. In the New Password and Rekey New Password fields, type the password you want to use.
Password Rules
  • Passwords are not case sensitive.
  • A password can be any combination of alpha, numeric, and special characters.
  • A password must have at least 5 characters but no more than 10 characters.
  1. From the list in the Security Question field, select a security question. In Answer and Rekey Answer, type the answer to the question.
  2. Select OK. The system notifies you that your password has been updated.
  3. Select OK. The system prompts you to set up your personal options.
  4. Select OK
  5. Follow the instructions in the Arkansas Medicaid PES Handbook to set up your options.

How to Set Up PES on a Network

Please note: If you need assistance installing PES on your network or resolving transmission problems when using PES on your network, you will need to contact the technical support representative or team in your office. EDI does not support network issues.

  1. Load PES on the server or primary computer, choosing Typical and taking all defaults
  2. Load PES on each workstation, choosing Workstation and browsing to the location where the database resides. (Only the PES application will be installed on the workstation. The database will have already been loaded on the network server or primary computer and will be shared by all workstations, allowing users of multiple computers to access the same data.

How to Upgrade PES on a Network

Please note: If you need assistance to set up PES on your network or to resolve transmission problems when using PES on your network, you will need to contact the technical support representative or team in your office. EDI does not support network issues.

  1. Download only the upgrade file to the Upgrades folder (at the same location as the database).
    Please note: Do not download the upgrade file to the workstations. Do not unzip the upgrade file.
  2. From each computer on which the PES software was installed, double-click the AR DXC Provider Electronic Solutions folder on the desktop, and then double-click the Upgrade icon. (If this folder is not available on the desktop, double-click C:\arhipaa\ecsupgrd.exe to apply the upgrade.) The upgrade file self-extracts and installs the components of the software.
  3. Follow the instructions on screen.
  4. Click Close when the upgrade is complete.
