What are immunization registries?

Immunization information systems (IIS), also known as Immunization Registries, are confidential, population-based, computerized databases that record all immunization doses administered by participating providers to persons residing within a given geopolitical area.

  • At the point of clinical care, an IIS can provide consolidated immunization histories for use by a vaccination provider in determining appropriate client vaccinations.
  • At the population level, an IIS provides aggregate data on vaccinations for use in surveillance and program operations, and in guiding public health action with the goals of improving vaccination rates and reducing vaccine-preventable disease.

Why are immunization registries needed, and how does Arkansas benefit?

  • Complete and accurate immunization histories can be viewed by providers to ensure timely and non-duplicated vaccine coverage.
  • School nurses will have access to the data to ensure that all incoming students have completed the necessary schedule of vaccines. The efficiency associated with automating this process will be enormous.
  • The Arkansas Immunization Registry has an automated vaccine inventory management module capable of tracking vaccine expiration dates and dosage counts.
  • This information can be used to forecast future vaccine inventory needs.
  • Information can and will be used to determine coverage levels across the state, identifying and targeting "pockets of need."
  • Coverage level information by practice or geographic area will be used to identify high risk areas and to target appropriate outreach and follow up activities.
  • The registry can forecast future immunization needs.

What is Arkansas WebIZ?

The Arkansas WebIZ system is the statewide immunization registry. It is a web-based centralized birth to death database that maintains complete, accurate, and secure immunization records for all Arkansas residents.

Mission

The mission of the Arkansas Immunization Information System is to utilize information management technology as the basis for an information system capable of improving Arkansans’ immunization documentation and increasing the immunization rates of Arkansans, in order to prevent and/or reduce the morbidity and mortality from vaccine preventable disease.

Overall Goals and Objectives

The Arkansas Immunization Information System is dedicated to serving all Arkansas providers as a computerized information system that supports the Immunization Program goal of reducing morbidity and mortality due to vaccine-preventable disease in the state of Arkansas. In addition, the Arkansas Immunization Information System strives to achieve the following goals:

  • To serve as the centralized immunization record repository for the state of Arkansas
  • To improve immunization practices throughout the state of Arkansas by providing immunization providers with advanced clinical decision support tools
  • To improve vaccine accountability by reducing unnecessary or inappropriate use of vaccine doses, supporting accurate vaccine inventory practices, and supporting Arkansas Department of Health vaccine ordering policies.

  • receive recall and reminder notices.
  • generate vaccine usage and client reports.
  • manage vaccine inventory.

Who can use Arkansas WebIZ?

Both public and private health care providers can get access to Arkansas WebIZ with proper training and login credentials. Within health care groups, a variety of users can access Arkansas WebIZ. Each user has access to features based on their assigned role.

The roles include

  • Administrator – the main contact within a health care organization who is responsible for maintaining all organization specific reports and can access the functions available to the other roles.
  • Inventory control – responsible for managing the organization’s inventory of vaccines.
  • Typical user – the primary user of the INC who adds, edits, and finds clients, manages immunization information, and prints immunization reports.
  • Data/exchange/HMO user – able to automatically exchange immunization batch files through INC and view client reports. Not all organizations are authorized for data exchange.
  • Reports-only – has access to client query information and may print client-specific reports and the new client form but cannot add or update information in the registry.
